Council Secretary

RESPONSIBILITIES & EXPECTATIONS

Position: Council Secretary

Reports To: President

Responsibilities & Expectations:

  • Distribute the Council's meeting agenda, as developed by the Executive Committee, by placing a copy in members' boxes no later then the preceding Sunday of the scheduled meeting.
  • Take and report the minutes of Council Meetings. Minutes to be completed in writing within 7 days of the meeting.
  • Keep a permanent record of all minutes of the Congregation's Meeting
  • Notify members of the Congregation's Meeting of the date, time and place of regular and special meetings.
  • Work with the Church Secretary in other responsibilities as assigned
  • Prepare a summary of the minutes to be included in the upcoming issue of The Vine and The Branches.
  • Handle Council communications. Present incoming letters and mailings to the Council for consideration when warranted. Prepare letters at the request of Council or the President.
  • Receive all other records, reports and minutes and properly store them in the Church archives.
  • Deal with special situations as they arise.

Education and Experience:

  • Graduation from an accredited high school required.
  • A minimum of 3 years secretarial experience required.
  • Experience in a church or social ministries environment preferred.
  • Experience with office machinery, including copiers, microcomputers, record keeping and filling systems, is required.
  • Proficiency in the personnel computer skills.
